If you're the person in the office who 'just orders things'—locks, glasses, gloves, hard hats, fire extinguishers, and sometimes a request that makes you blink twice—this checklist is for you. I'm an office administrator for a 230-person company. I manage facility and safety purchasing across about 10 vendors—actually 12, if you count the fire extinguisher company we only use for annual inspections. The budget is roughly $75,000 a year, maybe closer to $80,000 in years when we replace hard hats. You might have a list of 'usual items' from last quarter. Don't trust it. Take 20 minutes and walk the areas where the products are actually used.
For locks, check the storage cages and tool cabinets. Look at the tagout station—if you have one—and see which locks are missing or still left on. For PPE, open the eyewear dispenser and feel the gloves. I don't have hard data on how many companies reorder the same SKU without checking, but in my experience, at least a third of the order could change.
For fire extinguishers, glance at the gauge and the inspection tag. If the pressure is in the green but the tag isn't current, add that to the list. This step is boring, but it prevents the expensive mistake of paying for things you don't need.
Step 2: Match the product to the actual hazard and the actual standard
This is where 'safety product' and 'compliant product' are not always the same thing. I learned never to assume a product will do the job just because the category sounds right.
For general padlock use—toolboxes, storage cages, office cabinets—the Master Lock 22D laminated steel padlock has been our workhorse. It's affordable, widely available, and strong enough for normal office and light industrial use. But for actual lockout/tagout situations, I would not substitute it for a lockout-specific model. Per OSHA 29 CFR 1910.147, an employee must attach a lock and be the one to remove it. If you search for 'Zappos Amazon safety shoes,' you'll find plenty of options, but the ASTM F2413 mark is the part that matters. A listing that says 'steel toe' without the ASTM mark doesn't get reimbursed. We once had an employee buy a pair that looked right, but the spec sheet didn't list an impact rating. It cost me a 20-minute conversation and the company $130. Now the rule is clear.
Fire extinguishers: check the UL rating and the service record. ABC extinguishers are common, but the right size and location depend on the room. If you're not sure, ask your fire protection company. Don't guess.
Step 3: Verify the vendor before you trust the invoice
In 2021, I found a vendor with a great price on hard hat replacement suspension kits—about 15% cheaper than our normal supplier. I placed a $420 order. It arrived on time, but they sent me a handwritten receipt. Finance rejected the expense report. I ended up covering the cost from the department budget. That was the day I added three rules for every new vendor:
- Send an itemized invoice with the product code and quantity.
- Put the lead time in writing.
- Tell me the return policy before I buy, not after.
I get why some suppliers have minimum order quantities. Processing a $200 order costs them real time. To be fair, I've had good suppliers with minimums, and I don't hold it against them. Most people skip this because it adds a day to the process. That's exactly why I do it.
I once approved a bulk order for 'safety glasses' based on a product page and a good price. The batch that arrived looked nothing like the photo—the temple arms were flimsy, and the lens tint was visibly different from the clear sample we thought we were getting. The return cost us more than the sample would have.
For locks, order one Master Lock 22D or one shrouded padlock before you buy twenty. Key it, try the shackle, verify the body fits your hasps. For safety shoes, ask one employee to do a two-day wear test if you're buying for a team. For fire extinguishers, get a photo of the actual label and inspect the service tag. A sample opens your eyes to the gap between a good listing and a good product.
Step 5: Save the spec sheets and create a simple replacement calendar
This step doesn't feel urgent, but it's the one that makes future you look organized. Create a spreadsheet with columns I wish I had started with years ago.
For every product, record: the model number, the standard it meets, the date ordered, the quantity, where it's used, and when it should be replaced or inspected. For hard hats, write down the date on the shell—most manufacturers recommend replacement after a few years of service or after an impact. For fire extinguishers, note the monthly visual inspection due date and the annual maintenance requirement. For PPE, note the expected service life if the manufacturer provides one.
I don't have a perfect system. I use a simple spreadsheet and a shared folder for spec sheets. But it saved us in our 2024 vendor consolidation project when operations asked me to prove that a seven-year-old batch of gloves had a clear replacement cycle. The data was there because I'd finally started tracking it.
Step 6: Answer the common questions before they turn into incidents

Yes, it can. Steam is a cloud of fine water particles, and a smoke detector can mistake those particles for smoke. This is especially true with photoelectric detectors. The fix isn't to remove the detector. It's to make sure the smoke detector is not located directly outside the shower or in the path of steam from the bathroom. While we're on the subject of unusual requests: a manager once asked me to order 'fluffy handcuffs' for a safety training skit. I asked what the trainer really needed. It turned out they just wanted a visual for a 'restricted area' demonstration, and a couple of standard lockout tags worked better. The lesson: ask the question behind the question before you spend money on something that looks odd in a purchase order.

Three mistakes show up over and over:
